In general most Community Bank® companies are run by volunteer directors who carry out the corporate company and financial proceedings from their home computers. As a Board it is essential to control, protect and ensure that your company documentation, including electronic files, are controlled in such a manner subsequent boards would be able to adequately continue to operate your business should your current board not continue its service.
The risk of the loss of information is vast, but never the less is real. As a Board you should look at a succession plan for the business longevity should a disaster occur.
In this document Sharedata highlights these problems and offers a solution to your companies’ corporate continuance.
Dennis Cook MAICD Sharedata Pty Ltd
Adelaide Plains Financial Services Ltd
The nature of this document is to present a strategy for any business to manage its Information Technology (IT) requirements.
The management of financial and other required portfolios, including reporting structures, needs to have a policy that is monitored and the long term viability of all data protected. The loss of information could occur by a computer being stolen, hardware failure or software virus issues creating a disastrous loss of files. The tragedy of the death of a director or the catastrophe of a hostile walk out could also cause loss of vital information. It is therefore suggested that Sharedata can implement a Remote Desktop Service to contain this IT in a central server in a HyperVdata Management System. All assigned personnel may access this from their personal computers. Services commonly known as “Clouds” or “Drop Boxes” do give companies a storage/transfer space for moving files but do not allow a functionally operating full computer system, whereby data may be edited without having to move it between computers. In general these cloud services are located in India, Asia or South America and are not controlled by Australian Privacy Laws. Sharedata Pty Ltd systems are in house and reside in Australia. Sharedata Pty Ltd does NOT and will NOT place/store or use system facilities outside of our direct control.
Sharedata can offer a Virtual Machine fully functional computer with remote access 24/7 from any computer with internet access. It allows your Directors or staff to create your own directories as if it was your personal computer. Access levels are also an option available. Sharedata supplies the latest Microsoft Office and MYOB. As a company you will still need to maintain your MYOB licence as the system will use your activation key so you can access your MYOB files. Sharedata offers up to three users under the standard agreement. Additional users can be set up at extra cost.
Sharedata Pty Ltd is able to offer the HyperVdata Corporate Data Management for a small annual fee. This would give all of the services as stated above including the technical service required to maintain the network. The annual fee covers, Network access, Microsoft Office Professional 2013 (includes- Word/Excel/Power Point/Notepad/Access/Publisher, MYOB). HyperVdata continual back up means you can recover any lost files at any time. Printing any document is easy as it will print to your current printer. The Virtual Machine (VM) environment means your complete computer is held within a file and can be relocated to any other VM, should you ever require to move your Corporate Data. You may also backup your data to a machine/s of your choice.
We offer full support for training and technical assistance.
For a small annual fee Sharedata Pty Ltd can offer a secure system accessible 24/7 from anywhere in the world.
